Answer the phone after the office closes

Forward the office line to Ada when you close for the day. Ada tells each caller they’re talking with an AI, answers from your own hours, prices, and policies, moves appointments on the practice calendar, and texts back anyone who texts in. When a question is new or a caller is in trouble, Ada follows the instructions you wrote and leaves the rest for a person.

“I tell every caller I’m an AI, and if I don’t know the answer I say so and make sure someone gets back to them.”

Ada

Eleven people called after closing on Tuesday. None of them got voicemail, and the front desk started Wednesday with a summary of each call.

A Tuesday evening at a three-dentist practice
  1. 6:12 pm

A patient calls to move Thursday’s cleaning. Ada finds an opening on Friday at 10 and moves the appointment on the practice calendar.

  2. 7:40 pm

A caller asks whether the practice takes their dental plan. It’s on your list, so Ada says yes and books a new-patient visit for next week.

  3. 9:55 pm

A patient with a cracked tooth is in a lot of pain. Ada gives them the on-call dentist’s number, as your instructions say, and emails Dr. Patel a summary of the call.

  4. 10:20 pm

A patient texts that they’ll be ten minutes late tomorrow. Ada replies that it’s noted and adds it to the appointment.

  5. Wed 7:45 am

“A caller asked whether you offer payment plans for implants. Your notes don’t say. What should I tell them, and do you want me to call them back?”

  6. Wed 8:00 am

The overnight summary: 11 calls, 2 appointments moved, 1 new patient booked, and a transcript of each call.

How it works

The pieces behind the story

Where it runs

Ada works on a private computer in our US or EU region, next to your workspace’s data home, and reaches only the phone number, inbox, and calendar you connect.

Who does it

Ada handles the calls and texts. Rowan looks into any question Ada couldn’t answer and has it ready by morning.

What you control

You write the rules for emergencies, prices, and what Ada may book. Ada calls nobody back until you approve that call.

Geyser is HIPAA compliant, and patient conversations stay in your workspace. We never sell them. Calls draw on your plan’s monthly allowance, so there’s no separate bill from an answering service.

Set it up

Getting set up

  1. 1

Give Ada a phone number and connect the practice’s Google account.

  2. 2

Write down your hours, prices, and what to do in an emergency.

  3. 3

Forward the office line to Ada when you close for the day.
